16 Bars Production – Master Booking & Cancellation Policy

Below is our full Booking and Cancellation Policy. Please read and follow the instructions below.

 Bookings and Cancellation Policy.

1. Consultation & Custom Pricing

Because 16 Bars Production specializes in bespoke, high-quality audio and event production, all services are priced on a project-by-project basis.

  • Initial Request: Clients must first complete our project inquiry form.

  • Quote & Invoicing: Upon reviewing your request, our team will provide a custom quote and issue a formal Proforma Invoice outlining the scope of work and costs.

2. Payment, Deadlines, & Premium Scheduling

  • Payment Method: All payments must be processed exclusively via our secure PayPal link provided on your invoice.

  • Booking Deadline & Technical Setup Window: All standard or short-notice bookings must be finalized and paid in full at least 24 hours prior to the requested time. Bookings are not confirmed, and dates/studio time are not reserved, until the invoice payment is settled. For all events, we require a mandatory minimum of 2–3 hours of onsite clearing time prior to the start time to properly configure, soundcheck, and prepare our production equipment. The client accepts full operational and financial responsibility for technical limitations, deployment delays, or reduced functionality if this appropriate setup window is not provided.

  • Premium Hours Adjustments: The standard pricing tier applies only to standard operational hours. Any bookings requiring early morning setups (e.g., a 7:00 AM event start requiring load-in between 4:00 AM and 5:00 AM) or events extending after midnight (12:00 AM) will incur premium scheduling fees. These adjustments will be factored into your custom quote based on staff logistics.

3. Equipment Handling, Site Requirements, & Liability

  • Equipment Handling & Staffing: 16 Bars Production provides all necessary equipment setups and breakdowns. To protect our technical inventory, mitigate any operational loss, and avoid equipment damage, one of our designated engineers must remain onsite at all times to manage and operate the mixing console.

  • Outdoor & Onsite Safety Requirements: For any outdoor venues or open-air events, the client/renter must guarantee that all production equipment is placed under a structural, waterproof roof covering completely sheltered from rain, moisture, and direct environmental hazards. Furthermore, the gear must be physically staged out of reach of the general audience and event patrons. If these environmental and security criteria are not met upon our team's arrival, services will immediately be withheld, the event will be cancelled, and all payments will be forfeited without a refund.

  • Third-Party Engineer Requirements & Equipment Liability: While 16 Bars Production provides our own dedicated team, we will permit a client’s certified guest engineer to operate our equipment under strict conditions. Before any outside personnel can handle or hook into our infrastructure, the client must provide either a valid certificate of Venue General Liability Insurance or the renter’s formal Proof of Insurance explicitly covering rented commercial production equipment up to its full replacement value. In the absence of verifiable insurance documentation, the client must submit a refundable Security Deposit equal to the exact total financial value of the gear being utilized before setup begins. The client assumes absolute operational and financial liability for any equipment damage, system blown-outs, or configuration losses caused by their designated third-party engineer.

4. Cancellation & Refund Timeline

To protect our production schedule and ensure fairness to all clients, we enforce a strict cancellation policy. Because resources and dates are locked in upon payment, refunds are handled based on notice given:

  • 7 Days or More Notice: Cancellations made 7 calendar days or more prior to the scheduled project or event date are eligible for a full refund (minus any non-refundable PayPal processing fees).

  • 72 Hours to 6 Days Notice: Cancellations made between 72 hours and 6 days prior to the project date are eligible for a 50% refund or a one-time date transfer (subject to availability).

  • Less Than 72 Hours Notice: Cancellations made with less than 72 hours notice, as well as client no-shows, are completely non-refundable.

  • Client Modifications: Any changes to the agreed-upon project scope, date, or event details must be submitted in writing at least 72 hours in advance and may result in a recalculation of the final price.

5. Creative Alignment & Project Acceptance

At 16 Bars Production, we take pride in delivering exceptional content that aligns perfectly with our team's creative expertise, specialized equipment, and brand identity.

  • Right of Refusal: We reserve the right to decline any booking request, project, or event that falls outside our technical production capabilities, current availability, or core brand guidelines.

  • Content & Theme Restrictions: To maintain the artistic focus and standards of our studio and staff, we do not provide production services for events or media featuring explicit or adult content, specific seasonal/holiday themes, or events that do not align with our internal creative parameters.

  • Notification: If a project inquiry cannot be accepted, applicants will be notified promptly via email. 16 Bars Production is under no obligation to provide detailed creative justifications for declined requests.

This becomes a legally binding contract between the signer or renter of said equipment.  By filling the form below and signing your signature, you are communicating to 16 Bars Production that you are the responsible party required to sign and accept ALL liabilities associated with this rental.
